Job Description
The representative office of Foreign Company in Baku is looking for a Personal Assistant to the Manager.
It is important for us to build long-term cooperation with a punctual and purposeful employee.
Responsibilities :
The main tasks that the assistant will solve:
Business tasks:
Preparation of documents and presentations.
Participation in meetings, keeping minutes of meetings, monitoring assigned tasks and deadlines for their completion.
Working with tables in MS Excel.
Maintaining a register of the library, documentation, art objects.
Communication and working interaction with government officials, business partners, employees, contractors.
Schedule administration:
Maintaining the manager's schedule and calendar.
Planning meetings, trips, coordinating changes.
Reminders for upcoming events (business meetings, birthdays, etc.).
Personal tasks:
Coordination of everyday issues of the manager and his family members.
Issues of health, sports, hobbies, personal finances.
Organizing the delivery of letters, furniture, art objects.
Organizing trips, booking transport, purchasing tickets.
Requirements :
Expectations from the candidate:
At least 3 years of experience working as a personal assistant, secretary or concierge.
Willingness to work irregular hours.
Higher education.
Knowledge of Russian and English languages.
Knowledge of Microsoft Office: Word, Excel, PowerPoint, Teams.
Ability to store confidential information, diplomatic communication skills.
Punctuality and attention to detail.
Discipline and systematic approach to work.
