Role Summary:
The Program Coordinator (PC) will coordinate the day-to-day operations of The Max Foundation (Max) patient programs and logistics requirements. The PC will work directly with patients, country-specific authorities, and healthcare professionals including physicians, nurses, and pharmacists on a daily basis, to ensure that patients have access to medication, care, and support. The PC will be responsible for supporting partners by facilitating the importation and distribution of medication in country. The PC will also be involved in the planning and execution of patient support group meetings and mentoring both patient advocates and volunteers in capacity building.
Responsibilities:
Program Management:
• Facilitate the day-to-day operations and administration of Max’s programs, based on program guidelines.
• Provide guidance to patients and support local healthcare workers throughout the application process, including with the completion of required documents.
• Report all patient adverse events within 24 hours in accordance with program guidelines, including all source documents.
• Accurately update and maintain database records on a timely basis.
• Support senior team in preparing reports and tracking programmatic progress.
• Support partnering healthcare professionals in facilitating the importation and customs clearance of donated medications, should the need arise.
• Collaborate closely with partnering healthcare teams to document current inventory supply levels and record shipment receipts; plan restocks when inventory levels get low.
• Work with supply chain team on demand planning and resupplying sites.
• Initiate shipping processes, including the shipment of donated medication and/or diagnostic kits.
• Provide support to patients & families as needed, in navigating access to treatment
Communication with Patients and Key Stakeholders:
• Maintain professional communications (through various platforms, including: phone calls, emails, virtual meetings, face-to-face, and any other platforms, as needed) with patients, healthcare professionals, and other key stakeholders to ensure the smooth implementation of support programs.
• Provide emotional support, resource referrals, and basic disease information to patients.
• Contact newly referred patients to verify all information, as per program management process.
• Maintain contact with all patients and follow-up with them at least twice per year.
• Provide mentorship to patient advocates and volunteers involved in capacity building activities.
• Organize and attend patient support groups meetings on a periodic basis (including some weekends)
• Handle requests skillfully by getting feedback, identifying problems, and applying solutions.

Requirements :

Qualifications:
• Passionate about our mission and working directly with patients and the healthcare community.
• Diploma required, Bachelor’s degree preferred in Social Work, Public Health, Nursing or a related field.
• At least one year of working experience in a healthcare related field.
• Comfortable and proficient using computer and phone as primary tools for the job.
• Communicate clearly with patients, healthcare professionals and involved stakeholders at all levels.
• Fluent in Azeri, Russian and English.
• Well-versed with Microsoft Office including Word, Excel, and Power Point.
• Strong organizational skills; detail-oriented in documentation and reporting.
• Responsible for independent and timely execution of duties.
• Possess own transportation within city; willing to travel and work in hospitals should the needs arise. Willing to work on weekends to support patients, if required.
Compensation:
We offer compensation commensurate with experience. No relocation provided.
