Organization: Islamic Development Bank (IsDB)

Job Title: Field Representative Assistant

Location: Baku, Azerbaijan

Contract duration: one year with possible extension 

Responsibilities :

Job Purpose:
Under the general guidance of IsDB Field Representative in Azerbaijan, the FR Assistant will provide administrative support, secretarial and office services to ensure the smooth day-to-day functioning of the Office of FR at optimum efficiency and productivity in a professional manner.

Key Responsibilities:
- Perform a wide variety of administrative, secretarial, and advanced clerical functions,
- Draft, format, edit, revise and print documents including reports, correspondence, memos, agenda items, etc., as per the instruction of FR and/or COM,
- Support in editing and proofreading documents, proposals, and other materials 
- Participate in the collection, compilation, and analysis of required information from various sources,
- Take minutes of meetings and provide support in preparing presentations and other materials for official meetings, conferences, and other events,
- Provide translation/interpretation services as and when required,
- Ensure the availability of required office supplies and stationery items, maintain accurate and up-to-date office files, as well as appropriate inventory records; develop an efficient filing and record-keeping system to store all documents,
- Receive visitors and IsDB missions, and provide them with necessary assistance and support, particularly with accommodation, travel, and visa arrangements; check and process expense claims.

Qualifications/Professional Experience:
- At least 3 years of experience in Administrative/ Office Management, preferably in international organizations 
- Bachelor’s degree in Business Administration or similar relevant discipline 
- Experience in translation, writing reports, documentation, record keeping is desirable 
- Working proficiency with Microsoft Office and related applications
Language Skills:
- Fluency in English and Azerbaijani is mandatory
