Job Description

Job Summary:
We are seeking a dynamic and versatile individual to fill the role of Accountant and perform additional responsibilities of Administrator and Commercial Eexcellence Department for our office in Baku, Azerbaijan. This position plays a critical role in ensuring financial accuracy, providing administrative support, and contributing to commercial effectiveness initiatives. The ideal candidate should have strong accounting skills, administrative capabilities, and an understanding of commercial operations, allowing them to support both the Finance Department and the Commercial Effectiveness Department (CED).

Responsibilities :

Key Responsibilities:
1. Accounting Responsibilities:

1.1. Bookkeeping, verification and reporting
a. Ensure timely and accurate bookkeeping, including but not limited to accounts payable, receivable, payroll, and general ledger entries in the software.
b. Verification of payments made from the supporting documents.
c. Monitor expenditures to ensure they remain within budget limits.
d. Reporting of expenses to the head office / Dubai office.

1.2. Cash management and perform reconciliations:
e. Responsible for cash handling and keeping accurate recrods.
f. Conduct cash and bank reconciliations, resolve discrepancies and report to HO.
1.3. Taxation and Compliance with local laws and regulations:
g. Ensure compliance with local tax regulations, including VAT, corporate tax, and payroll taxes.
h. Manage the preparation and filing of statutory tax reports.
1.4. Fixed Asset Register:
i. Maintain fixed asset register and perform fixed asset reconciliations on periodic basis.
j. Ensure proper tagging of fixed assets
2. Administrative Responsibilities:
2.1. Office Management: Manage office supplies, utilities, and coordinate with vendors for maintenance and other administrative services.
2.2. Documentation & Filing: Maintain organized and up-to-date records for all administrative and financial documents, ensuring confidentiality and compliance with local laws.
2.3. Support to Management:
a. Assist management with scheduling meetings, organizing events, and coordinating travel arrangements.
b. Prepare presentations, reports, and other documentation as needed.
c. Coordination with HR in case of employee onboarding and separation.
3. CED (Commercial Effectiveness Department) Responsibilities:
3.1. Commercial Reporting:
a. Prepare regular reports on commercial effectiveness, highlighting areas for improvement in sales performance.
b. Collaborate with the sales and marketing teams to monitor commercial KPIs.
3.2. Project Support:
c. Assist in commercial projects aimed at enhancing salesforce effectiveness, distributor management, and customer engagement.
d. Act as a point of contact between the finance team and the CED for any data or reporting requirements.

Requirements :

4. Key Qualifications:
4.1. Education:
a. Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
b. Professional accounting certification (e.g., ACCA, CIMA) or progress toward certification is preferred.
4.2. Experience:
c. Minimum 3 years of experience in accounting and administration, preferably within a commercial environment.
d. Experience working in pharmaceutical, healthcare, or FMCG sectors will be an advantage.
4.3. Technical Skills:
e. Proficiency in accounting software (e.g., SAP, QuickBooks, or other ERP systems).
f. Strong command of MS Office, particularly Excel and PowerPoint.
4.4. Language Skills:
g. Fluency in Azerbaijani and English is required; knowledge of Russian is a plus.
4.5. Personal Attributes:
h. Strong organizational skills and attention to detail.
i. Excellent communication and interpersonal skills.
j. Ability to work independently and manage multiple tasks simultaneously.
k. Problem-solving skills with a proactive mindset.
4.6. Working Conditions:
l. Location: Baku, Azerbaijan
m. Working Hours: Full-time, Monday to Friday
